Vendor Terms

These Vendor Terms apply to all vendors participating in Hi Fit Expo 2026 at the Blaisdell Exhibition Hall. By submitting a vendor application, paying a vendor deposit, or participating as a vendor, you agree to these terms.
1. Vendor Approval and Eligibility
- Submitting an application does not guarantee acceptance.
- Hi Fit Expo reserves the right to approve, deny, or limit vendors to maintain category balance and event quality.
- Vendor participation may be revoked for policy violations, unsafe conduct, or non compliance with venue rules.
2. Booth Space and Setup
- Standard booth space is 10×10 unless otherwise stated on the product or agreement.
- Vendors provide their own tables, chairs, signage, extension cords, and display materials unless explicitly included.
- Booth placement is determined by Hi Fit Expo and may change due to floor plan, safety, or operational needs.
- Vendors must keep displays within their assigned booth footprint and maintain clear aisles.
3. Load In and Breakdown
- Load in and breakdown times will be provided in vendor instructions closer to the event.
- Vendors must follow venue rules for loading zones, freight elevators, and staging areas.
- Early breakdown is not allowed unless approved by event management.
4. Payments and Refunds
- Vendor deposits reserve limited inventory and are non refundable.
- All refund related questions are governed by the Refund and Returns Policy on hifitexpo.com.
- Unpaid balances may result in loss of booth reservation and reassignment of space.
5. Products, Sales, and Sampling
- Vendors are responsible for complying with all local, state, and federal laws related to products sold or promoted.
- Vendors must ensure all claims, labels, and marketing materials are accurate and lawful.
- Any sampling must comply with venue rules and applicable regulations.
- Hi Fit Expo may restrict or remove products or displays that violate policy, law, or venue requirements.
6. Food Vendors
- Food vendors are responsible for all health permits, inspections, and compliance required by the venue and local authorities.
- Cooking, propane use, generators, and grease disposal must follow venue and safety requirements.
- Food vendors must maintain clean operations and proper waste handling throughout the event.
7. Insurance and Liability
- Vendors participate at their own risk and are responsible for their staff, products, and property.
- Vendors are responsible for any damage they cause to the venue, event property, or other vendors.
- Hi Fit Expo is not responsible for loss, theft, or damage of vendor property.
- Hi Fit Expo may require proof of insurance for certain vendor categories or activities.
8. Safety, Conduct, and Compliance
- Vendors must keep booth areas safe, clean, and free of hazards.
- Harassment, discrimination, illegal activity, or unsafe conduct results in removal without refund.
- Vendors must follow all instructions from event staff and venue personnel.
9. Branding, Media, and Promotion
- Hi Fit Expo may photograph or record the event, including vendor booths, for marketing and documentation.
- By participating, vendors grant permission for Hi Fit Expo to use images of their booth and staff in event related media.
- Vendors may not use Hi Fit Expo branding in a way that implies official endorsement unless approved in writing.
10. Removal and Termination
Hi Fit Expo may remove a vendor from the event for safety issues, policy violations, non compliance, or conduct that harms the event experience. Removal does not create a right to a refund.
